Information you provide

For interpreting quote requests, we may also collect appointment type, proposed date, time, location, estimated duration, and optional non-sensitive notes. We use these details to respond, provide a quote and, if agreed, coordinate an appointment.

When you contact us, you may provide your name, contact details, location and information about your request. Please begin with a brief outline and avoid sending sensitive documents until we agree on what is needed and how to provide it.

The website and contact channels

The inquiry form sends the details you enter to cal@vietnamhelper.com through our hosting provider’s mail service. We send an automatic confirmation to the email address you provide. We do not keep a separate website database of inquiries; emails are retained under the practices below. A temporary, essential session cookie helps protect form submissions. Spam protection uses a hashed IP address and recent request times without storing inquiry text. WhatsApp and Zalo links open those services, which handle information under their own policies. Website hosting may record technical access information such as IP addresses and requests. This website includes no advertising or analytics scripts.

How we use inquiries

We use your information to respond, understand the assistance you need and arrange agreed services. Access is limited to Cal Nguyen and people directly assisting with your request who need the information. We do not sell your personal information.

Sharing with professionals

Before sharing inquiry details with an outside law firm, translator or other professional to arrange services, we discuss the referral and information to be shared with you. We may also disclose information where required by law. Your email, messaging and other service providers process information as part of delivering their services.

Retention

We aim to delete routine inquiries that do not lead to an engagement within 12 months of the last contact. Records for an agreed engagement may be retained longer to deliver the service or meet applicable obligations; we will discuss the relevant arrangements when work begins.

Your requests

You may email us to request access to, correction of or deletion of information you provided. We will consider your request and explain any reason information must be retained. We may need to confirm your identity.
